How Our Hire Durations Work

At Fruit & Cactus we keep our pricing simple, fair and flexible, whether you’re hiring a single bud vase or the full collection. No two events are the same, so we’re always happy to chat through what works best for you.

Mini Golf
Mini golf is a single-day hire – delivered, set up and collected on the day of your event. It needs at least 50m² of outdoor space.

Garden Games, Bars & Décor
Everything else is priced per item, for one hire period — your event. A wedding day, a party, a corporate open day.

When it arrives is up to you. If you’re styling things yourself, we can deliver a few days ahead so you’ve got time to set up at your own pace. If you’d rather have no fuss, we can deliver on the morning. It’s the same hire fee either way — you’re never charged extra for having your items early.

Tell us what your venue allows and we’ll work the timings around it.

We only ask that items are stored under cover and somewhere secure when they’re not in use.

Set Up
Décor is dry hire – we deliver it boxed and collect it boxed, and styling is down to you or your venue team.

Garden games and bar structures can be set up by us as an optional extra, so there’s nothing to think about on the day. Just say when you enquire and we’ll include it in your quote.

Mini golf and games packages including mini golf are always set up by us.

Multi-Day Hire
For festivals, exhibitions or anything running beyond the standard hire period, we quote on a bespoke basis.

We require a 25% deposit to secure your booking. This deposit confirms your booking and allows us to reserve the equipment & dates exclusively for you. The final balance will be due 28 days before your event.

Damages Deposit

To ensure all items are kept in excellent condition for every client, we require a refundable security bond on all bookings.

How it works

The deposit is calculated at 20% of your total booking value, capped at £500. It is confirmed in your quote and due with your final balance, 28 days before your event.

The deposit is refunded in full within 14 days of collection, provided the Equipment is returned in the same condition as delivered.

Example: A booking totalling £550 would require a £110 deposit. A booking totalling £6,000 would be capped at £500.

If something gets damaged

If any loss, damage or breakage occurs during your hire, the cost of repair or replacement will be deducted from the deposit. Where costs exceed the deposit amount, you remain liable for the outstanding balance under the terms of your hire agreement.

We’ll always notify you in writing within 48 hours of collection if a deduction is to be made, and we’ll never make a deduction without explaining exactly why.

We deliver, set up (optional extra) and collect everything ourselves – no third-party couriers, no handoffs. It’s our own kit and we’d rather look after it, which means the person turning up at your venue is the person who knows exactly how it all goes together.

Working with your venue

We’re happy to deal with your venue directly so you don’t have to be the go-between. Most venues have their own rules on access times, clear-down deadlines and where things can be stored – tell us who to speak to and we’ll sort the details between us.

We’ll ask the awkward questions upfront, too: how close we can park, whether there are steps or gravel to cross, what time the doors open, where everything can live overnight. Much better to know in advance than find out on the morning.

You don’t need to be there for delivery or collection. If someone from the venue can let us in, that’s plenty.

Timings

We’ll work around whatever your venue allows. If you’re dressing things yourself and want your items a few days early, we can do that. If you’d rather keep it simple and have everything arrive on the morning, we can do that too. Tell us what you need and we’ll always do our best to make it work.

Delivery & Collection Fees

Delivery and collection is quoted as a single charge for your booking, based on distance from our F&C HQ in Harwell, Oxfordshire, the timings you need, access at your venue and the size of vehicle required.

As a guide, local décor and garden games deliveries start from £30 (within 10mi of Harwell). Mini golf and bars need a larger vehicle, so these start from £120.

Out-of-hours deliveries or collections, and venues with restricted or difficult access, may carry an additional charge.

We always confirm your delivery cost in your quote before you book, so there are no surprises on either side.

Hire Agreement & Terms and Conditions

With every booking, we’ll send you a copy of our hire agreement to review and sign before your booking is confirmed. It covers everything you need to know, your responsibilities, what’s included, how we handle damage, cancellations and delivery, and our security bond process.

We always recommend reading it carefully, and we’re happy to answer any questions before you sign.

Booking

We recommend booking private dining a minimum 6-8 weeks in advance where possible. This gives us time to discuss menu options, plan the logistics and get everything in place.

Menu & Dietary Requirements
Every menu is tailored to your event. We will have a good chat about the ideas you may have and put together a menu to suit your taste, event and guests.

We can accommodate all dietary requirements, allergies and special requests, ensuring everyone enjoys their meal. Please note that our kitchen handles all 14 allergens, so we cannot guarantee there will be no cross-contamination.

Pricing
Once we have discussed your event and what you are looking for, we will put together a bespoke quote. Private dining events are priced per head. Staffing is quoted additionally.
